Japan sourcing agent: equipment, materials and products

Buying from Japan is straightforward once you are talking to the right supplier in Japanese, and hard until then. As your Japan sourcing agent, with Japanese management, we source anything you need from Japan: we find the supplier, handle the enquiry and the negotiation in Japanese, and deliver — through Vietnamese import with installation and after-sales support here, or shipped to wherever you are.

  • Any Japanese product
  • Supplier search in Japanese
  • Delivered to Vietnam or anywhere
  • Installation and after-sales support
Sourcing from Japan

Industrial equipment and machinery, spare parts, raw materials, consumer products — whatever it is, we find the Japanese supplier that fits. Japanese heat-treatment equipment and industrial washing and cleaning machines are lines we supply regularly, together with technical advice on choosing the unit that fits your line, installation support, maintenance and spare parts.

Japanese equipment arriving in Vietnam has checks of its own. Mains voltage differs between the two countries, and so does frequency in part of Japan; some equipment must pass a safety inspection before it can be used; and used machinery is governed by Circular 56/2026/TT-BKHCN, in force since 5 September 2026. We check each of these before you order, not after the machine has landed.

We also supply Japanese raw materials with certificates of analysis, for manufacturers who need Japanese-origin inputs. If what you want is a finished product made in Japan under your own brand, that is our OEM & private label service.

What we handle, and what you decide

A sourcing agent does the legwork; the decisions stay with you.

We handle

  • Searching for suppliers that actually make your kind of product, and shortlisting them
  • Checking each candidate against its company registry, and any certificate it shows with the body that issued it
  • Carrying your specification to the supplier and its questions back to you, in writing
  • Collecting quotations on the same specification, quantity and Incoterm
  • Moving samples, recording your comments and following production
  • Inspection before shipment, export documents and the certificate of origin
  • Checking voltage, frequency and the used-machinery rules for your site

You decide

  • The specification, and what counts as a defect
  • Your target price, quantity and delivery date
  • Which supplier gets the order
  • Whether a sample is approved
  • Whether the goods ship once you have read the inspection report
  • The Incoterm, the forwarder and the payment terms
  • New or used, and the model you settle on

How our fee is worked out

We do not publish a rate card, because the work behind a sourcing request varies too much for a single number to mean anything. What we can tell you is what the quotation for our work depends on, and we put it in writing before anything starts.

How we are paid
Either we act as the trading party and invoice you for the goods, with our margin inside the price, or we act as your buying agent and invoice a service fee while you pay the supplier directly. We agree which model applies before the supplier search begins.
How much searching the product needs
A complete drawing or specification with one target country is a different job from a loose description that needs suppliers compared across several countries.
Samples and visits
How many sample rounds the product is likely to need, and whether a factory has to be seen in person or checked by an independent inspector.
Inspection, documents and delivery
Who inspects and how many lots ship, which certificates and origin documents the destination asks for, the Incoterm you buy on, and whether goods from several suppliers are consolidated into one shipment.

What we do — and the promises we keep

We put both in writing, so you know exactly what to expect from us.

We do

  • Source Japanese industrial equipment, raw materials and products
  • Approach and negotiate with Japanese suppliers in Japanese
  • Check voltage, frequency, inspection and used-machinery rules before you order
  • Handle import into Vietnam (for used machinery, your factory is the importer and we check the file)
  • Deliver to your site in Vietnam or ship to wherever you are
  • Support installation, maintenance and spare parts

What we will not do

  • We do not promise a price or a delivery date before the supplier has quoted
  • We do not import or resell used machinery in our own name — Vietnam allows it only for the importing factory’s own production
  • We do not claim to represent a manufacturer we have no agreement with

Before you write to us

You do not need all of this to start a conversation — but the more of it you have, the faster we can give you a real answer instead of a range.

  • What you need: model, specification, or a description of the process
  • New or used
  • Voltage, frequency and utilities at your site
  • Quantity, and when you need it
  • Where it will be installed
  • Any certificate or inspection your industry requires

Frequently asked questions

Do you work as a sourcing agent or as the seller?

Either. We can act as your buying agent in Japan, approaching suppliers and negotiating in Japanese while you buy directly, or we can be the trading party that buys in Japan and sells to you. Which one fits depends on the goods and on your import arrangements, and we agree it in writing first.

What can you source from Japan?

Anything you need from Japan — machinery and industrial equipment, spare parts, raw materials and consumer products. Japanese heat-treatment equipment and industrial washing and cleaning machines are lines we supply regularly.

Can you help us import used Japanese machinery into Vietnam?

Yes, but your factory is the importer. Circular 56/2026/TT-BKHCN, in force since 5 September 2026, allows used machinery only for the importing enterprise’s own production in Vietnam and sets conditions on its age and technical standards. We look for a machine in Japan or check one you have found, read the seller’s papers in Japanese and tell you what the file is missing before you pay.

Japanese equipment runs on a different voltage. Is that a problem?

It can be. Mains voltage differs between Japan and Vietnam, and part of Japan also runs at a different frequency, so every unit is checked against your site before it is ordered. We do that check as part of the quotation.

Do you provide after-sales support?

Yes: installation support, maintenance and spare parts — directly in Vietnam, and arranged for sites elsewhere.

Our site is not in Vietnam. Can you still source from Japan for us?

Yes. We source from Japan for companies anywhere and ship the goods to you. Tell us what you need and where it is going.

Regulatory information on this page is general. Requirements for imported equipment depend on the item and change over time; we confirm the current rules for your specific equipment before you order.
